Terms and condition

Section A: Terms & Conditions

  1. Candidates applying must be over 18 years of age.
  2. Candidates applying for a course may not apply for exam only (except for re-sit examinations).
  3. Vacancies are allocated strictly in the order that complete and valid application forms are received. An application form without the full fee, proof of payment or invoice request will be invalid and no allocation will be made until the fee has been received.
  4. If an organization requests an invoice for a place on a course for one of its employees and that employee, at any time subsequent to the invoice being raised, leaves the organization, for whatever reason, the organization which requested the invoice remains liable to pay the full course fee.
  5. Request for Deferment / Replacement / Withdrawal of Courses: For deferment/withdrawal of courses, a written notice must be submitted and received by AYS 2 weeks before course commencement. – For replacement of courses, a written notice, together with the full particulars of the new participant, must be submitted and received by AYS 2 weeks before the course commence. – All requests will be subjected to approval. Refunds / withdrawals. – For withdrawal of courses, there will be no refund of unattended classes and examination. – For deferment, it will be subjected to a maximum of 3 tries, after which the case is considered closed and all course fee paid will be forfeited and no refund will be made.
  6. If a candidate is unable to attend a class for any reason (such as work commitments), or requires a session change AFTER the course has commenced, each individual session change will incur administrative charges.
  7. If a candidate is unable to attend a session due to illness and is able to provide medical proof of absence (doctor certificate) within three (3) working days of the missed session, the administrative charge for arranging a make-up session will be waived.
  8. AYS will assist and find a suitable alternative but there is no guarantee that such an alternative will be available.
  9. All applications will automatically be registered for a place on the examination date(s) relating to that application. Any applicant who wishes to postpone their examination must be inform us 10days before the exam starts. Subsequent re-sit will be charged accordingly.
  10. Candidates have to complete the exam within SIX (6) months after the course if they successfully postpone the exam with us.
  11. Once registered for the exam, if candidates are unable to attend the exam on that exam date, the fee for that exam will be forfeited and candidates will have to pay the full exam fee in future.
  12. Candidates who are absent from their registered exam due to illness must inform us before the exam and provide a medical proof (doctor certificate).(item 10 will be imposed)
  13. Results will be announced personally notifying that the results have been released. Under no circumstances will the results be disclosed over the phone, by fax or by email.
  14. Any uncollected Certificate and exam results will be destroyed after SIX (6) months. If a candidate then requires a reprint of certificate and exam results, an administrative fee of RM100 and 30 day processing time is required.
  15. All the examination must be complete within 6 month after the programs. Exam fees will be charge if the exam seated after the 6 months duration.
  16. The personal data collected in this application will be used by AYS to process your registration for the wine course and/or examination(s) detailed in the application form and for examination registration purposes.
  17. Failure to provide any personal data included in the form (including full details of date of birth) may result in an inability on the part of AYS to successfully register you for the appropriate course and examination.
  18. Your data may be transferred to the Wine and Spirit Education Trust® (WSET®) in the United Kingdom for examination purposes as well as to confirm that you have previously passed any relevant examination in order to qualify for the course and/or examination(s) you are applying for.

Section B: Policy For Complaints Procedures 

  1. All complaints against any action or practice which threatens the integrity of courses provided by AYS will be investigated in a thorough and professional manner.
  2. An outline of the problem and the main points should be documented and dated. If the problem is not resolved at this stage we will inform the complainant that they should contact a higher authority in AYS.
  3. The complaints against the awarding bodies should be discussed with AYS and documented evidence should then be forwarded to the awarding bodies who have their own complaints policy.
  4. Candidates who are unhappy with their exam results can appeal via AYS and the respective awarding body will investigate.

Section C: Candidates Requiring Reasonable Adjustments 

A reasonable adjustment involves any action that helps to reduce the effect of a disability or difficulty that places the candidate at a substantial disadvantage in the assessment situation. We seek to conduct the assessment of all candidates in a way that puts them at no disadvantage, or advantage, over other candidates.

Reasonable adjustments must not affect the integrity of what needs to be assessed, but may involve:

  • Changing standard assessment arrangements, for example allowing candidates extra time to complete the assessment activity.
  • Adapting assessment materials, such as providing materials in large text format.
  • Providing access facilitators during assessment, such as a sign language interpreter or reader.
  • Re-organizing the assessment room, such as removal of visual stimuli for an autistic candidate.

A “Request for Reasonable Adjustment” form is only approved or set in place before the assessment activity takes place; please notify AYS either at time of registration or after the first class has concluded if you have any special assessment needs which will require any reasonable adjustments to be made for examination purposes. Out of fairness to all candidates, evidence of the individual circumstance(s) must be produced.

Section D: Policy For Candidates Requiring Special Consideration 

“Special Consideration” situation is when the candidate is not able to take the examination due to temporary illness, injury, indisposition or adverse circumstances at the time of the examination. It is crucial that the candidate inform the AYS so a “Request for Special Consideration” form may be completed. WSET must be notified through AYS in writing within five (5) days of the examination date. Consideration will only be considered with the inclusion of supporting independent documentation. Where a candidate is unable to attend an examination due to recent personal illness, accident or bereavement we will accommodate the candidate with an alternative examination date at no extra cost (with proper documentation).
